How to Make a Booking

1. The package deposit payment must be made no later than 60 days before the flight date.

2. Payment can be made in stages as follows:

30% for the first payment (60 days before the trip date)
20% for the second payment (30 days before the trip date)
50% for the full payment (14 days before the trip date)

3. Full payment must be completed 14 days before the trip begins. Failure to do so gives us the right to cancel the trip with no refund.

4. Payments can only be made to the MKJ account via instant transfer or DuitNow.

5. After the deposit has been made, only three (3) revisions to the quotation are allowed.

6. No refund will be provided for any changes or reduction in participants within 30 days of the trip date, and we reserve the right to adjust the package price to reflect the current number of participants.

7. We reserve the right to impose additional charges during peak seasons or in cases of drastic changes in the yen exchange rate, accompanied by an official company memo (depending on current conditions).

9. If the deposit payment is made last-minute (less than one month before the flight date), we reserve the right to increase the package price due to higher accommodation costs resulting from last-minute bookings, which are beyond our control.

10. The Train Ticket Card (Pasmo/Suica/Icoca) used for public transportation in Japan must be returned to us. If the card is lost, you are responsible for reimbursing the card’s remaining balance.

11. Once the booking and deposit payment are made, this serves as confirmation and proof of agreement to all company terms and conditions.

Package Information and Confirmation

1. You are required to review all package details before making the deposit payment, including package price, flight dates (departure & return), departure and arrival times, selected package type, accommodation and room type, and other details as stated on the payment receipt or confirmation letter.

2. You are deemed to have agreed to all details stated in the receipt or confirmation letter and are fully responsible for any risk or additional cost to your package if you fail to report any errors or omissions within 24 hours from the date the receipt or confirmation letter is issued.

Transportation

1. In the event of flight schedule changes or amendments, MKJ shall not be held liable for any compensation, including domestic ticket change fees, additional hotel stays, or other inconveniences resulting from such changes.

2. MKJ is not responsible for any compensation claims arising from schedule changes, delays, cancellations, missed connections, mechanical issues, bad weather, seat rearrangements, lost or delayed baggage, immigration delays, or denied boarding by the airline.

Package Cancellation & Changes

1. Any cancellation or change of package/date must be made in writing via email or WhatsApp to our staff according to the respective package to avoid misunderstandings. Please attach supporting documents such as a death certificate, doctor’s letter, or other relevant documents (if applicable).

2. If the cancellation is made for personal reasons, you are subject to all stipulated terms and conditions.

3. If MKJ receives a cancellation/change notice 45 days or more before the departure date, a minimum administrative fee of RM50.00 or 2% of the tour package price (whichever is higher) per person will be charged. If MKJ receives the notice of cancellation/change within the first 7 days after the deposit payment, you are entitled to a 100% refund of the deposit paid.

5. If flight tickets have already been purchased, or hotel bookings and other arrangements have been made, the full cost must be borne 100% by the participant.

6. Any changes in travel dates, additional charges (fare & tax), and similar adjustments are the participant’s responsibility.

7. If your company or department cancels or does not approve your leave after the booking has been made, MKJ will not be held responsible. You must refer directly to the company or department that made that decision.

8. If you face any immigration or visa restrictions, or incur additional expenses, refunds, or compensation claims upon arrival in the destination country, you are fully responsible for all such payments or losses.

Travel Itinerary

1. We reserve the right to reschedule, change, or skip destinations depending on current conditions, including weather, traffic congestion, unforeseen circumstances, or ongoing festivals during the trip. Delays caused by participants may also result in changes to the itinerary. You must comply with all rules and regulations set at each destination.

Final Preparations

1. Every participant joining our trip must ensure that they are not blacklisted or subject to any restrictions related to tax issues, loans, or similar matters, to prevent any immigration problems that could cause participants to miss their flights.

2. Please ensure that your passport validity is more than six (6) months from the date of travel.

3. For non-Malaysian passport holders, please check with your Immigration Department or respective embassy to confirm whether a visa is required.

4. We will not be held responsible for any issues that may occur at the airport later on as a result of the above matters.

Pandemic / Act of God

1. Every travel package arranged by MKJ will proceed as scheduled if there are no travel restrictions imposed by the destination country due to outbreaks, diseases, or similar circumstances. However, MKJ reserves the right to adjust the itinerary or program schedule and to implement necessary preventive and hygiene measures to ensure the safety of all participants.

2. Any payments or costs already made by MKJ to airlines, hotels, transportation providers, food suppliers, or local travel agencies will not be refunded to participants who cancel their trip due to an outbreak or illness, as long as the destination country has not closed its borders and there are no travel bans issued by the Malaysian government (WISMA PUTRA).

3. The company will adhere to all terms and conditions set by the airlines, hotels, transportation providers, food suppliers, and local travel agencies, and will inform participants accordingly.

Claims

1. The process of claiming VAT/tax for personal expenses in any MKJ package is the participant’s own responsibility. MKJ will not be held liable for any matters or losses arising from this.

2. Refund claims cannot be made against MKJ, nor can legal action be taken, for any unforeseen events such as natural disasters, disease outbreaks (Act of God), emergencies, wars, or similar occurrences.

3. Customers may not sue or take legal action if a dispute arises before making a genuine effort to discuss and resolve the matter with MKJ.

Health and Insurance Protection

1. You MUST obtain sufficient and suitable travel insurance to participate in any trip organized by MKJ, and this is a mandatory condition of your contract with MKJ.

2. Participants who are persons with disabilities (OKU) or those using wheelchairs/walking aids are not encouraged to join any MKJ packages unless accompanied by a guardian or family member throughout the trip, to ease travel arrangements.

Tour Guide Policy

1. The service hours of our tour guides are from 9:00 a.m. to 8:00 p.m. only.

2. Additional charges will apply if you wish to use our tour guide’s services outside these hours. However, exceptions may be made without extra charges if there are unavoidable circumstances, subject to the tour guide’s discretion on that day.

3. If certain destinations cannot be visited due to time constraints or weather conditions, you may reschedule the visit to another suitable day.

4. If a ticketed attraction cannot be visited, we will refund the value of the ticket.

5. Meals at Japanese restaurants are budgeted at ¥1,500 per person. If you choose not to dine at the restaurant on that day, we will refund ¥1,500 per person.

Permission for the Use of Photos, Videos & Media

1. By participating, you agree that MKJ has the right to record videos and take photographs throughout the trip. These recordings may be used for promotional purposes, including MKJ Travel’s website, social media, and marketing materials.

2. If you do not consent, please inform MKJ so that your videos or photos will not be used or will be removed upon request.
